Policies

Confirmation and Payment

Annual Partnership benefits take effect upon receipt of payment in full. After receipt of payment for the Annual Partnership, access is granted to specially discounted tickets for event sponsorship and exhibition. If payment is not received in a timely manner, Annual Partnership benefits and any previously confirmed exhibition or presentation spaces may be released.

Annual Partnerships are a full-year commitment. Because TAIS plans and delivers benefits across the entire program year on your behalf, Annual Partnerships are nonrefundable once confirmed.


Event Engagement Benefits

Some Annual Partnership levels include conference sponsorship or exhibition benefits. Access a detailed outline of Annual Partnership benefits and specific event engagement opportunities via our Partner with TAIS webpage.

If your partnership includes conference sponsorship or exhibition, you are responsible for purchasing the appropriate TAIS conference tickets online to indicate where you would like to apply your benefit. This designation, and any related changes or cancellations, must be made according to the Key Deadlines at a Glance above.

Conference sponsorship and exhibition slots are limited and filled on a first-come, first-served basis, so we encourage early designation.

It is the Annual Partner's responsibility to utilize their event engagement benefits before the close of the program year. Undesignated conference benefits do not carry over to another program year. Annual Partners utilizing conference sponsorship and exhibition benefits are subject to the Event Sponsorship Policies below.


Professional Learning Proposals

Annual Partners interested in offering professional learning, whether by presenting at a TAIS conference or event or by proposing a stand-alone workshop of your own, must submit a proposal through the Rolling Call for Program according to the Key Deadlines at a Glance above. Submission through the Rolling Call is the only pathway for professional learning proposals for all presenters. Proposals from Annual Partners are evaluated alongside all other submissions. Sponsorship does not guarantee presentation; however, Annual Partners seeking a guaranteed mini-conference session presentation (excluding the Annual Conference) may inquire about the Event Sponsorship Plus add-on.

Conference sponsorship and associated benefits take effect with the completion of online registration and receipt of payment in full. Due to the TAIS team's program, marketing, and logistics planning needs, event sponsorship and related benefits may be released if payment is not received in a timely manner.

Session Proposals

Event sponsors interested in presenting at a conference must submit a proposal through the Rolling Call for Program according to the Key Deadlines at a Glance above. Event sponsorship does not guarantee session presentation. Proposals from event sponsors are reviewed alongside all other submissions, and no portion of an event sponsorship is refundable if a session proposal is not accepted.


Event Sponsorship Plus Add-On

Sponsors of named TAIS conferences – excluding the Annual Conference – may purchase the Event Sponsorship Plus add-on for $500. This add-on guarantees a session presentation slot at the sponsored conference, provided a proposal has been submitted through the Rolling Call for Program by the given deadline in conjunction with an active add-on purchase. TAIS retains full editorial input on all professional learning, including guaranteed sessions, to ensure alignment with our program standards. The add-on also includes a dedicated post-event email sent by TAIS to all conference registrants, highlighting your organization and resources.


Cancellations

Written cancellation notice must be submitted to tais@taistn.com at least nine weeks prior to the event to be eligible for a refund, which will be subject to a processing fee. Cancellations received fewer than nine weeks in advance are nonrefundable and may not be eligible for rescheduling or transfer to another conference. TAIS invests significantly in event logistics well ahead of each conference in order to deliver a high-quality experience for sponsors and exhibitors alike. Sponsors who do not notify TAIS of a cancellation or withdrawal in a timely manner may be subject to a service charge.

Conference sponsorship and associated benefits take effect with the completion of online registration and receipt of payment in full. Benefits are activated upon receipt of payment. Due to the TAIS team's program, marketing, and logistics planning needs, event exhibition and related benefits may be released if payment is not received in a timely manner.


Day-Of

Exhibitors are asked to remain set up and staffed for the full designated exhibition period. Setup, tear-down, and exhibition hours will be communicated in advance of the event.


Cancellation

Written cancellation notice must be submitted to tais@taistn.com at least nine weeks prior to the event to be eligible for a refund, which will be subject to a processing fee. Cancellations received fewer than nine weeks in advance are nonrefundable, as event space, materials, and logistics have already been finalized. Exhibitors who do not notify TAIS of a cancellation or withdrawal in a timely manner may be subject to a service charge.
