Event Policies

    Virtual Event Cancellation Policy

    Virtual event registrations are non-refundable. Substitutions are welcome; please contact TAIS with attendee information at least 12 hours prior to the event start.

    In-Person Event Cancellation Policy 

    Attendees will receive a full refund for an in-person event for cancellations up to three weeks before the event. Refunds are not possible after three weeks prior to the event due to the costs incurred for food orders, contracts, and other administrative and setup fees. All refunds will reflect a 15% administration fee. 

    *If an in-person event must be rescheduled, the above cancellation window holds from the date that the rescheduled date is announced.

    Annual Conference Cancellation Policy 

    Attendees will receive a full refund for Annual Conference cancellations up to six weeks before the Annual Conference and a 50% refund up to four weeks before the Annual Conference. Refunds are not possible after four weeks prior to the event due to the costs incurred for food orders, contracts, and other administrative and setup fees. All refunds will reflect a 15% administration fee.

    We welcome substitutions for attendees who cannot join us for an in-person event. With a week's notice prior to an event, we can honor requests for changes to name tags, food orders/dietary restrictions, and session selections. Within a week of the event, we may not be able to honor these attendee-specific changes and suggest that, in this case, an attendee bring their organization-specific name badge.

    Professional Development Records and Certificates

    Beginning in 2026 and beyond, professional development certificates will no longer be distributed at events or via e-mail following the event. Instead, all professional development records and certificates dating back to 2021 will be stored in the Member Compass under "Continuing Education." Certificates are auto-generated with event attendance and are linked to the Member Compass account of each registrant; therefore, inaccuracies in registration could result in a missing certificate. 

    In-Person Photo, Video, and Recording

    Registration, attendance at, or participation in in-person TAIS events constitutes an agreement by the registrant to TAIS’s use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs, videos, electronic reproductions, and audio of such events and activities.

    Virtual Recording

    TAIS records virtual events selectively and intentionally. Whether a session is recorded and distributed is determined on a case-by-case basis and in consultation with session facilitators. Participants will always be informed at the start of any session that is being recorded. Registration for a TAIS event is an investment in the live learning experience — the community, conversation, and engagement that happen in the room.

    AI Note-Taking

    To protect participant confidentiality and foster the authentic engagement that makes TAIS virtual learning valuable, TAIS prohibits the use of AI notetaking tools at virtual conferences, workshops, and webinars. AI notetakers may be permitted in non-learning contexts, such as informal meetings, with prior approval from the meeting organizer and will be evaluated on a case-by-case basis. TAIS staff maintain the right to remove AI notetakers from any virtual gathering hosted by TAIS.

    Code of Conduct

    Recognizing that excellent learning spaces require shared respect, we prohibit the use of profanity, vulgar language, or other inappropriate innuendo from all individuals at virtual or in-person TAIS events. TAIS reserves the right to remove anyone not upholding these expectations.  Event registration indicates your understanding of and adherence to these terms.
